Richard Hughes Racing is committed to protecting and respecting the privacy and security of your personal data. This notice explains who we are, the types of information we hold, how we use it, who we share it with, and how long we keep it.

What Information We Collect and How We Collect It

We only collect basic personal data about you which you have provided to us, or which is provided to us by the British Horseracing Authority, Weatherbys Bank, or another party instructed by you to share information with us, or otherwise properly shared with us in line with data protection law.

This data may include:

  • Your name
  • Your address
  • Your email address
  • Your phone number
  • Your photograph
  • Any other contact information you provide to us

We do not normally collect special category data about you through standard business activities covered by this notice.

We will only process data that is adequate, relevant and limited to what is necessary for our purposes. We will not ask for more information than we need to carry out our business operations.

We also take reasonable steps to make sure personal data is accurate and kept up to date. We ask that you tell us about any change in your contact details or personal information.

How and Why We Use Your Data

We may use your personal data:

  • To communicate with you
  • To provide services to you in connection with our business as a licensed racehorse trainer
  • For race entries and related administration
  • For sales entries and related administration
  • To use your name and photograph on social media and in other public communications where appropriate

Our Lawful Basis for Processing Your Data

We will process your personal data where:

  • It is necessary for us to comply with a legal obligation
  • It is necessary for the performance of our contract with you, or to take steps before entering into that contract
  • It is necessary for the purposes of our legitimate interests, or those of a third party, except where your interests or fundamental rights and freedoms override those interests

These legitimate interests include complying with the British Horseracing Authority Rules of Racing and any other racing regulator’s rules where a horse trained by us for you is subject to those rules.

This may include providing information requested by the British Horseracing Authority or another racing regulator in connection with the operation of the Rules of Racing, enquiries, or disciplinary matters.

Keeping Your Data Safe

We have procedures in place for the storage and disclosure of personal data to help ensure it is processed safely and securely.

We do not normally transfer personal data outside the UK. However, this may happen if you have runners in places such as Australia, Dubai, Hong Kong, Qatar, Singapore or the USA, where it is necessary for racing and related administration.

Sharing Your Information

We will only share your personal data with third parties, or allow access to it, where:

  • We are legally required to do so
  • It is necessary for us to perform our contract with you properly
  • It is required under the British Horseracing Authority Rules of Racing or another racing regulatory body, including in relation to overseas racing
  • You have authorised someone to deal with us on your behalf

This may include sharing your personal data with veterinary surgeons, sales companies, racing authorities, and other relevant service providers where needed.

Your Rights

You have the right to:

  • Request a copy of the personal data we hold about you
  • Ask for incorrect or out-of-date information to be corrected
  • Ask for your personal data to be deleted where it is no longer necessary for us to keep it
  • Withdraw your consent where we have asked for it and rely on it

In most cases, consent is not needed for standard business activities involving customer or supplier data. Where consent is used, you have the right to change or withdraw it.

How Long We Keep Your Information

We will not keep your personal information for longer than necessary for the purpose for which it was provided, unless we are required by law or have another legitimate reason to keep it for longer.

We will normally keep information for no more than 6 years after the termination or cancellation of the contract or service we provide.
